03 — Tender readiness

Built for scrutiny. Ready for delivery.

Spontan Creative Media is structured for tenders, vendor registrations, framework agreements, consortium bids and formal procurement procedures. This is the overview procurement teams use to assess eligibility, capacity, past performance and compliance.

Documents are selected for the stated procedure, not sent in bulk. Sensitive material may require recipient verification or a confidentiality agreement.

04 — Procurement FAQ

Clear answers before the process begins.

Tenders and procurement

Can Spontan participate in tenders?

Yes: public and private tenders, RFPs, RFQs, framework agreements, vendor registrations and consortium applications. Each opportunity is reviewed against its eligibility, scope, deadline and contracting conditions before participation is confirmed.

Does Spontan respond to international tenders?

Yes. Our knowledge of Albania and the Western Balkans is a particular strength, but we also contribute to international projects where our technical, creative, sector or implementation capacity is relevant.

Can I contact Spontan before the final ToR is ready?

Yes. We can review the available information and identify what a complete assessment would need. This does not replace the formal procurement process where one applies.

How quickly does Spontan respond?

Submissions and partnership opportunities are reviewed within one business day, and those with an active deadline are prioritized.

Documents and credentials

Are all credentials publicly available?

No. The website gives public overviews; certificates, signed policies, financial reports, CVs and other controlled documents are provided on request where there is a legitimate procurement or due diligence purpose.

Does Spontan send the same credentials pack to every requester?

No. A team assessing financial capacity needs different evidence from a consortium lead assessing technical expertise, so documentation is selected for each request.

What certifications and assurance can Spontan evidence?

ISO 9001:2015, ISO/IEC 27001 and ISO/IEC 20000-1:2018, three consecutive years of independently audited financial statements, and an external AI readiness and governance assessment by Comply On AI. Copies and summaries are provided on request.

What languages does Spontan work in?

Albanian, English and Italian. Additional languages can be arranged through our expert and partner network according to the assignment.

Is Spontan registered on procurement platforms?

Spontan maintains the company, vendor and procurement registrations relevant to the institutions and markets it works with. Current details and evidence are provided on request.

Can Spontan provide bid securities or guarantees?

They are assessed for each opportunity, depending on the instrument, value, deadline, contracting conditions and issuing institution. Financial and banking documentation can be provided to support the assessment.

Team, references and confidentiality

Can Spontan provide key personnel CVs?

Yes, where a tender, consortium application or due diligence procedure requires them. Leadership profiles are public; the wider team is presented by role to protect staff privacy.

Can confidential projects be used as past performance?

Only where the agreement and client permissions allow it. Relevant experience may then be confirmed through limited descriptions, controlled documentation or formal references.

Can Spontan sign an NDA?

Yes, before receiving confidential technical, financial, commercial or consortium information. Certain financial, personnel, security or operational documents can also be shared under one.

Should an NDA be signed before submitting a ToR?

Not usually, unless the documents are confidential. The submission form lets you indicate that an NDA is needed, and it is arranged before detailed documentation is exchanged.

Consortium partnerships

Does the consortium need to be fully formed before contacting Spontan?

No. We can assess an opportunity at any stage; the call document, proposed role, target geography and deadline make the assessment faster.

Can Spontan support proposal preparation?

Yes, once participation is agreed: methodology input, technical descriptions, personnel profiles, references and work planning for our scope. The lead organization remains responsible for the overall submission unless agreed otherwise.

Procurement should evaluate capacity, not create administrative friction.

Send the assignment or the partnership opportunity, and we confirm within one business day.
